1. What Information Do We Collect?

Information collected directly from you (Ringlyo account holders)

In Short: We collect personal information that you provide to us when registering and using Ringlyo.

We collect personal information that you voluntarily provide to us when you register on the Services, express an interest in obtaining information about us or our products, participate in activities on the Services, or otherwise contact us. The personal information we collect may include:

  • Names
  • Phone numbers
  • Email addresses
  • Mailing addresses
  • Usernames and passwords
  • Billing addresses

Sensitive Information. We do not process sensitive information.

Payment Data. We may collect data necessary to process your payment, such as your payment instrument number and security code. All payment data is handled and stored by Stripe. See their privacy notice at stripe.com/ie/privacy.

Information collected through the Ringlyo AI assistant service (restaurant guests)

In Short: Ringlyo provides an AI assistant service to restaurants. When restaurant guests interact with the Ringlyo-powered assistant — by phone, WhatsApp, or other channels — certain personal data is collected on behalf of the restaurant.

Ringlyo operates as an AI assistant service for restaurants. In this context, Ringlyo acts as a data processor on behalf of its restaurant clients, who are the data controllers responsible for their guests' personal data. If you are a restaurant guest and have questions about how your data is used, please contact the restaurant directly.

The personal data collected through the Ringlyo assistant service on behalf of restaurants may include:

  • Full name
  • Phone number
  • Table reservation details (date, time, party size, special requests)
  • Food order details (items ordered, collection time, dietary notes)

Call Recordings. Ringlyo records telephone and voice interactions handled by the AI assistant service. Calls are recorded for the purpose of monitoring and improving service quality. Call recordings are retained for a maximum of 60 days, after which they are permanently deleted. Access to call recordings is restricted to authorised personnel only.

Call Transcripts. Ringlyo generates text transcripts of voice interactions for the purpose of quality monitoring and resolving order or booking queries. Transcripts are retained for a maximum of 90 days, after which they are permanently deleted. Transcripts are not used for AI training or any other purpose beyond service quality and operational support. Access is restricted to authorised personnel only.

Ringlyo does not share restaurant guest data with any third-party companies. This data is used solely to provide the service to the restaurant and is not used for marketing or any other purpose.

Third-Party Restaurant Systems. As part of delivering the Ringlyo AI assistant service, the AI may automatically create table reservations or food orders directly within the restaurant's own third-party systems, such as table reservation platforms or point-of-sale (POS) systems. In doing so, personal data such as name, phone number, and booking or order details is passed to these systems. Ringlyo does not own, operate, or control these third-party systems and is not responsible for how they store, process, or retain personal data. Guests wishing to understand how their data is handled within these systems should contact the restaurant directly or refer to the relevant system provider's privacy policy.

Information automatically collected

In Short: Some information — such as your IP address and browser characteristics — is collected automatically when you visit our Services.

We automatically collect certain information when you visit, use, or navigate the Services. This includes device and usage information such as your IP address, browser and device characteristics, operating system, language preferences, referring URLs, and other technical information.

Log and Usage Data. Service-related, diagnostic, usage, and performance information our servers automatically collect when you access our Services.

Device Data. Information about your computer, phone, tablet, or other device, including IP address, browser type, hardware model, operating system, and system configuration information.

Location Data. Information about your device's location collected via GPS and other technologies. You can opt out by disabling your Location setting on your device.

2. How Do We Process Your Information?

In Short: We process your information to provide, improve, and administer our Services, communicate with you, for security and fraud prevention, and to comply with law.

We process your personal information for the following reasons:

  • To facilitate account creation, authentication, and account management
  • To deliver and facilitate delivery of services to the user
  • To operate the Ringlyo AI assistant service on behalf of restaurant clients, including processing table reservations and food orders
  • To record and review voice calls for the purpose of monitoring and improving the quality of the AI assistant service
  • To generate and review call transcripts for quality monitoring and resolving order or booking queries
  • To respond to user enquiries and offer support
  • To send administrative information to you
  • To fulfil and manage your orders
  • To request feedback
  • To send you marketing and promotional communications (in accordance with your preferences)
  • To determine the effectiveness of our marketing and promotional campaigns
  • To save or protect an individual's vital interest

3. What Legal Bases Do We Rely On?

In Short: We do not sell or share restaurant guest data with third parties. We may share Ringlyo account holder data only with service providers necessary to operate our platform.

Restaurant guest data. Personal data collected through the Ringlyo AI assistant service on behalf of restaurant clients — including reservation details, order details, phone numbers, and call recordings — is not shared with any third-party companies by Ringlyo for advertising, marketing, or any other purpose.

Restaurant third-party systems. As part of the service, the Ringlyo AI assistant may automatically submit reservation or order data into the restaurant's own third-party platforms, such as reservation management systems or POS systems. This transfer is carried out on behalf of the restaurant as part of fulfilling the service. Ringlyo does not control these systems and is not responsible for their data practices. The restaurant is the data controller responsible for ensuring their chosen systems comply with applicable data protection laws.

Ringlyo account holder data. We may share your data with third-party vendors and service providers who perform services for us and require access to such information to do that work. We have contracts in place with all third parties designed to safeguard your personal information. The categories of third parties we may share personal information with:

  • Data Analytics Services
  • Communication and Collaboration Tools
  • Finance and Accounting Tools
  • Sales and Marketing Tools
  • User Account Registration and Authentication Services

Business Transfers. We may share or transfer your information in connection with any merger, sale of company assets, financing, or acquisition of all or a portion of our business.

6. How Long Do We Keep Your Information?

We apply the following specific retention periods:

  • Call recordings — retained for a maximum of 60 days from the date of the call, after which they are permanently and automatically deleted.
  • Call transcripts — retained for a maximum of 90 days from the date of the call, after which they are permanently and automatically deleted. Transcripts are used solely for quality monitoring and operational support and are not used for AI training.
  • Reservation and order data (name, phone number, booking and order details) — retained for a maximum of 12 months from the date of collection.
  • Ringlyo account data — retained for as long as your account remains active. Upon account termination, your data will be deleted within 30 days.

When we have no ongoing legitimate business need to process your personal information, we will either delete or anonymise such information, or securely store it and isolate it from further processing until deletion is possible.

7. How Do We Keep Your Information Safe?

In Short: We aim to protect your personal information through a system of organisational and technical security measures.

We have implemented appropriate and reasonable technical and organisational security measures designed to protect the security of any personal information we process. However, no electronic transmission over the internet or information storage technology can be guaranteed to be 100% secure. Transmission of personal information to and from our Services is at your own risk. You should only access the Services within a secure environment.

8. Do We Collect Information From Minors?

In Short: We do not knowingly collect data from or market to children under 18 years of age.

We do not knowingly collect, solicit data from, or market to children under 18 years of age. By using the Services, you represent that you are at least 18, or that you are the parent or guardian of a minor and consent to such minor's use of the Services.
